Privacy notice
Effective from 23 October 2026.
1. Who is responsible
1.1. The controller of the personal data described here is Linkobalt OÜ, registry code 10589703, VAT number EE100628971, registered address Vikerkaare tee 24-1, Pärnamäe küla, Viimsi vald, 74001 Harju maakond, Estonia, office Punane 6-216, 13619 Tallinn, Estonia, phone +372 517 3722, email info@linkobalt.ee.
1.2. Linkobalt OÜ has not appointed a data protection officer, as the GDPR does not require one for its activity. All questions about your personal data can be sent to info@linkobalt.ee.
2. What data we process
2.1. Through the request forms on this website we receive:
- name or company name;
- email address;
- phone number, if you give one;
- the details of your transport or trade request: request type, origin and destination, desired date, cargo or goods;
- IP address and the time of sending, recorded automatically by the form service.
2.2. Name, email and request details are needed to answer you. The other fields are optional.
2.3. If you contact us directly by email, phone, WhatsApp or Telegram, we process the details you send us that way.
2.4. We do not ask for special categories of personal data, personal identification codes or payment details.
3. Why and on what legal basis
3.1. We use the data only to answer your request: to contact you, prepare an offer and, if we agree, to organise the transport or the supply of goods.
3.2. If you send a request on your own behalf, the legal basis is taking steps at your request before entering into a contract (GDPR Article 6(1)(b)).
3.3. If you send a request as the contact person of a company, the legal basis is our legitimate interest in answering business enquiries and corresponding about them (GDPR Article 6(1)(f)).
3.4. Protecting the forms against automated spam is based on our legitimate interest in keeping the forms working (GDPR Article 6(1)(f)).
3.5. If a contract is concluded, accounting source documents are kept to meet the Estonian Accounting Act (GDPR Article 6(1)(c)).
3.6. We do not ask for separate consent, and sending a request is not treated as consent.
4. Who else processes the data
4.1. We do not sell personal data, do not use it for marketing and do not pass it to anyone except as described in this section.
4.2. The forms are delivered by Web3Forms (Web3Creative, India), which receives the request and forwards it to our email. Web3Forms deletes the request data from its system after 7 days. For hosting, email delivery and spam filtering it uses its own sub-processors; the spam filters CleanTalk and Akismet receive the sender's IP address and email address.
4.3. The spam check on the forms is provided by hCaptcha (Intuition Machines, Inc., USA). It receives technical data about your browser and device and your interaction with the check.
4.4. Requests arrive in our mailbox at our email service provider in the European Union. This is where correspondence is kept.
4.5. Our hosting provider processes the technical data needed to deliver the pages, such as IP address, browser type, requested page and time.
4.6. Web3Forms operates from India, and hCaptcha, CleanTalk and Akismet from the USA, so part of the data is transferred outside the European Economic Area. Such transfers rely on the European Commission's standard contractual clauses and, for US companies, on the EU–US Data Privacy Framework where the company participates in it.
4.7. The WhatsApp and Telegram buttons are ordinary links: no data is sent to these services until you open them. Messages you send there are also processed by those services under their own terms.
5. How long we keep it
5.1. We keep requests and correspondence for as long as needed to answer them and for the business relationship that follows. When there is no longer a reason to keep them and the law does not require a longer period, they are deleted.
5.2. If a contract is concluded, accounting source documents are kept for the period set by the Estonian Accounting Act.
6. Cookies and browser storage
6.1. This website's own code does not use cookies or store anything in your browser. It uses no analytics, advertising pixels or visitor counters.
6.2. When you scroll to a form, the hCaptcha check loads and stores the entries it needs to work under its own domain, hcaptcha.com. Without them the form cannot be sent. Until you reach a form, no third-party requests are made.
6.3. You can delete or block cookies in your browser settings at any time.
7. Your rights
7.1. You have the right to access your personal data and receive a copy, to have inaccurate data corrected, to have your data deleted (except accounting documents the law requires us to keep), and to restrict its processing.
7.2. Where processing is based on point 3.2, you have the right to receive your data in a machine-readable form.
7.3. Where processing is based on points 3.3 or 3.4, you can object to it at any time. We will then stop, unless we have compelling legitimate grounds, which we will explain to you in writing.
7.4. To use your rights, write to info@linkobalt.ee. We reply within one month, free of charge.
7.5. No automated decisions or profiling are carried out.
